Generative AI Policy

JILWSD recognises the growing use of Generative AI tools in academic writing. In alignment with policies from Elsevier, Springer Nature, Wiley, and COPE recommendations on AI and authorship, JILWSD adopts the following policy.

Core Principles

  • AI language models (e.g., ChatGPT, Claude, Gemini, Copilot) cannot be listed as authors. Authorship requires accountability and informed consent — qualities AI systems do not possess.
  • Authors are fully and solely responsible for the originality, accuracy, integrity, and validity of the work submitted, regardless of any AI tools used.
  • Use of Generative AI does not absolve authors of responsibilities under JILWSD's publication ethics policy.

Permitted Uses (with Disclosure)

  • Language editing, grammar correction, and proofreading
  • Translation assistance (with expert review of accuracy)
  • Literature search assistance (with author verification of all cited sources)
  • Data visualisation suggestions (not data generation or manipulation)
  • Structural and formatting assistance

Prohibited Uses

  • Generating or fabricating data, results, or research findings
  • Producing the core intellectual contribution of the manuscript
  • Generating references that have not been independently verified by the author
  • Reproducing copyrighted materials via AI without proper attribution
  • Using AI to disguise plagiarism or bypass originality requirements

Mandatory Disclosure

Authors must disclose AI tool use in the Methods section (for AI-assisted analysis) or Acknowledgments (for AI-assisted writing/editing). Disclosure must specify:

  • Name and version of the AI tool (e.g., ChatGPT-4o, Claude 3.5 Sonnet)
  • Specific purpose for which the tool was used
  • Statement that the final content was reviewed and verified by the human author(s)

Example disclosure:

"During preparation of this manuscript, the authors used [AI Tool, Version] for [purpose, e.g., language editing of Section 3]. After using this tool, the authors reviewed and edited the content as necessary and take full responsibility for the content of the published article."

AI-Generated Images and Figures

Images generated using AI tools (e.g., DALL-E, Midjourney) must be clearly labelled as AI-generated in the figure caption and must not misrepresent actual research data or findings.

Policy Review

This policy will be reviewed and updated at minimum annually, in response to developments in AI technology and guidance issued by COPE, Scopus, and the broader academic community.
